How do you communicate to your staff which meetings and events should be set for the next day? For example, if you have a night shift, what are some of the ways you communicate to the crew the rooms they should work on for the next day? How could we improve OPS to make this communication process easier?

We are currently using "Tasks" to indicate what needs to be completed for the next day. Our staff creates a list of tasks along the lines of "set room 300 for tomorrow at 8pm tonight" and the setup crew will then advance to tomorrow to check what needs to be done for that room and when completed they will mark off both the task and indicate the room has been set on it's line for the next day. Would be great if somehow the room could be pulled into the current day list based off of "available at". It would be nice to not have to advance to the next day to see the details for rooms that are being set in the evening.
